Stand Allocation Process

The deadline for exhibitors to submit their stand application form to be included in the initial allocation is 13 October 2019. After this point IBC will begin laying out the floorplans using all of the applications for space received before the deadline. If you would like to make any alterations to your stand request for IBC2020 (including requested hall) please let us know prior to this date to ensure your requests are taken into consideration.

The main allocation of space will be confirmed by 1 December and we will not be able to confirm any details before that point. You are very welcome to discuss with us your broader objectives for the year where we can recommend suitable opportunities.

Finance & invoicing

IBC will send you the first 25% invoice on the 13 October 2019. This invoice is based on the space requested on your application form. If your allocated stand space differs from the space that you requested, adjustments will be made accordingly in the second invoice (50%) which you will receive in March 2020. All invoices will be in Pounds Sterling. Please remember that in order to be eligible for the early booking rate (application before 17 September), IABM discount and the early settlement discount,  all invoices must be paid on time (cleared funds). Your final 25% invoice will be sent on the 13 June 2020. 

Important Notes

Your stand application form is a request for exhibition space. Whilst IBC will try to accommodate all requests, regrettably, not all needs can be met nor can space be guaranteed or confirmed prior to December 2019.

The application form is also a contract for exhibition space; should you wish to cancel your stand application form there will be a 5% cancellation fee on your requested space. After you have been informed of your space allocation further cancellation fees apply, please refer to clause 29 within IBC’s Terms and Conditions.

Promotional Opportunities

There are ways to generate leads and brand exposure during the whole year, not just at the show, by using IBC’s wider channels including IBC365. Please find all sponsorship and promotional opportunities here

We also recommend that you arrange some time to speak with the IBC sales team to have a think about ways to promote your presence at IBC2020 and get more meetings booked pre-show, more visitors to your stand onsite and a fuller follow-up system planned post-show.
