What are the key exhibitor deadlines?

A list of deadlines are available in the IBC Monthly Checklist located in the Exhibitor Online Manual.

Free Design Stand Exhibitors - Please note your Appointed Contractor Form, Double Decker Acknowledgment Form, Health and Safety Declaration, Method Statements, Risk Assessment Form and Stand Plan Submission Forms are due on the 2 June 2017 . These documents are available in the Exhibitor Online Manual.

Submit 150 Word Catalogue Entry via Exhibitor Zone - To maximise your exposure at IBC you need to submit your company profile for the IBC Exhibition Catalogue before 3 July 2017. For IBC2017 your company profile will be used for your online entry and printed Exhibition Catalogue entry. Please ensure that you submit both your company profile and the contact details you wish to be included in the printed catalogue. This can be completed via the Exhibitor Zone in the Your Details section.

Where is the RAI Amsterdam Webshop?

To place your orders on the RAI Amsterdam Exhibitor Services Webshop please enter the Exhibitor Online Manual for more information. Once logged in click on the Service and Ordering section on the left hand tab. You can access the Online Manual via the IBC Online Exhibitor Zone

What is included in the Shell Scheme stand?

Shell Scheme Rate includes: 

  • White melamine walls
  • One company name and stand number on the front fascia panel per stand
  • Blue carpet (tiles)
  • 1 rail with two spotlights (PAR30) for each 9m²
  • One 230 V, 9 A electrical power socket for each 9m²
  • Cost of power consumption for the spotlights, the illumination of the company name and the power socket(s)
  • Basic stand cleaning
  • Inclusion in the IBC Exhibitor List, the IBC Mobile App and other IBC promotional material where possible
  • 150-word entry in the IBC Exhibition Catalogue and an exhibitor online profile
  • Inclusion in the online product locator
  • Unlimited customer tickets - free entry to the exhibition for your customers through (available in the Exhibitor Zone)
  • A wide range of sponsorship, promotional and event opportunities throughout the show
  • Access to the registered press list (available in the Exhibitor Zone)
  • Opportunity to submit editorial and press releases to the IBC Daily News and IBC TV  (the official daily publications and news programmes of IBC) and via the Online Press Releases

Where should I park my car?

Parking is not permitted in the residential streets around the Amsterdam RAI but plenty of space is available in the car parks under or near the Amsterdam RAI. To request a parking pass, please refer to the Amsterdam RAI Exhibitor Services Webshop located in the exhibitor online manual.

Parking fees - a one-day ticket costs € 14,88 excl. VAT and € 18,00 incl. VAT and a ticket for the duration of the show costs € 58,40 excl. VAT. One-day tickets can also be purchased from vending machines at the entrances and exits of the car parks. 

Lorry parking for 5 days:
Vehicle < 6 mtrs € 256,75 excl. VAT, € 325,00 incl. VAT
Vehicle > 6 mtrs € 513,50 excl. VAT, € 650,00 incl. VAT

There are 38 charging points at the RAI (P1 and P7 car park) booking them is not possible.

How do I organise delivery and collection of goods to my stand?

CEVA Show freight is the official Freight Forwarder of IBC2017. They have the exclusive responsibility for the forwarding and handling of all exhibits into and out of the exhibition halls. For more information please refer to the Exhibitor Online Manual.

How do I submit stand design plans and health and safety forms?

Abraxys is IBC's appointed Stand Plan Inspection Agency. All stand plans can be submitted through the Exhibitor Online Manual. For any further questions regarding stand plans please feel free to contact Abraxys directly.

How can I upload our company profile?

To maximise your exposure at IBC2017 you need to submit your company profile for the IBC Exhibition Catalogue before 3 July 2017. How do I get a Visa?

You may be required to provide a Visa for entry into The Netherlands. Please visit the Dutch Embassy website for more information. During your registration you will have the opportunity to request a Visa invitation letter that you can provide to your relevant Embassy to aid your application. Please be aware that the Visa process can take several weeks. To add a Visa letter to your pass you will need to log into your account using the username and password you created while registering. Once you have logged in you can request visa letters, fill in the information and it will automatically be sent to you as an email. Please contact for assistance.

How do I book a meeting facility?

IBC offer a range of meeting facility options. These include our dedicated Hall 15 Meeting Suites, Balcony Suites above Hall 1 and venue meeting rooms. For more information please  email

How can our company enter the IBC Awards?

As an exhibitor you are automatically entered into the Exhibition Stand Design Awards. The Judges visit every stand and agree a winner and finalist for each category.

How can our company participate as a conference speaker?

Unlike some other conferences, we do not accept formal speaker offers but instead invite speakers directly. However we can add you or your proposed speaker to the database that is made available to our conference producers once topics and themes have been decided, should our producers be interested in engaging your speaker, they will be in touch directly. Please note that should your offer be unsuccessful, you will not receive a response. Please contact

I would like to have an on stand function

Exhibitors are permitted to host customer events on their stands at the end of each exhibition day. All after hours functions on stands must finish by 20:00 which is when the day current is switched off.

If functions are running later than expected, the IBC Office must be informed. In some cases, the exhibitor may be required to arrange additional security.

Are there any points where I can access the internet at the show?

Yes! IBC provides free WiFi in the following public areas:

  • Forum Lounge
  • Cafe Amsterdam
  • Catering Area in Europa Foyer 1
  • Grand Cafe
  • Holland - 1st Floor
  • Europa - 1st Floor
  • Ruby Lounge
  • Europa Foyer 2
  • Diamond Lounge

Where is the shuttle bus schedule?

IBC provided a free shuttle bus service to and from a selection of the major hotels in Amsterdam directly to the RAI as well as a shuttle bus service from Schiphol Airport to the RAI and back.

All hotel shuttles buses will pick-up and drop-off at location called P5a, opposite the Outside Exhibits and next to Hall 12.

All airport shuttles will pick-up and drop off outside Entrance C (Holland Entrance of Venue).
